At a glance
- Separate required criteria from desirable experience.
- Match each important requirement to truthful evidence.
- Explain why this specific role interests you.
- Check the application instructions before submitting.
Read the vacancy as an evidence request
Save the actual advert and application instructions. Mark the role title, reference, closing date, required qualifications, responsibilities and submission method. Then make a two-column map: what the employer asks for and what you can honestly show. A gap is useful information; copying a criterion into your letter does not prove you meet it.
National Careers Service cover-letter guidance recommends tailoring the letter to the employer and supporting claims with facts. The following original exercise applies that principle to a fictional vacancy. It is separate from writing your full CV: the letter selects the strongest connections rather than repeating every job and date.
- Accepts applicants currently studying fitness coaching
- Currently studying; clearly states the award is not yet completed
- Explain information clearly to new visitors
- Community-centre reception work explaining room-booking options
- Keep colleagues informed about unfinished enquiries
- Uses a shift list separating questions awaiting replies from completed requests
- Work the advertised Tuesday and Thursday evening pattern
- Has checked personal commitments and can meet this fictional pattern

A complete fictional cover letter
The employer, reference, person and experience are invented to demonstrate the writing task. This is not a current vacancy or a letter sent on anyone’s behalf.
Dear Hiring Team,
I am applying for the gym instructor role, reference HEG-04. I am currently studying fitness coaching and am interested in your advertised opportunity for applicants still in training. My qualification is in progress and has not yet been awarded.
In my community-centre reception role, I explain room-booking options using the centre’s current information. When a request needs a decision from the bookings lead, I summarise the question and explain the next step to the visitor. This gives me relevant experience for the clear member communication described in your advert.
I also maintain a shift handover list separating enquiries waiting for a visitor reply from those waiting for staff confirmation. I review unfinished items with the next colleague, so the handover identifies who will follow them up. I would bring that attention to organisation while learning your gym’s own systems.
I can work the Tuesday and Thursday evening pattern in the advert. Your focus on welcoming new members is the part of this role that particularly interests me. My CV gives further details of my work and current study. Thank you for considering my application; I would welcome the opportunity to discuss the role.
Kind regards, Rowan Ellis
Check relevance, truth and delivery
Underline each sentence that answers something in the advert. If a paragraph does not connect to the role, shorten it or replace it with stronger evidence. Then compare the letter with your CV: qualification status, dates and availability should agree. Replace the fictional details completely; the value is the evidence structure, not the invented experience.
Finally follow the employer’s actual submission instructions. Check the recipient, reference, required attachments and file format, and open the saved files to confirm they are readable. Keep the submitted version with the advert so you can prepare for any later conversation using the same claims. This exercise does not submit an application.
Common questions
Frequently asked questions
Should I apply if I am still studying?
Read the actual eligibility wording. The example vacancy explicitly accepts current learners, but a real advert may require a completed qualification. State your status accurately and clarify ambiguous criteria before assuming you qualify.
How is the cover letter different from my gym instructor CV?
The CV records your background and evidence in a reusable structure. The cover letter selects a few relevant examples and explains their connection to this specific role, employer and working pattern.
